How it works
- Free callWe learn how your business runs and what's behind.
- Fixed quoteOne monthly fee for agreed services. No hourly billing.
- OnboardingWe connect your bank feeds and clean up the opening balances.
- Every monthBooks closed, reports sent, returns filed on time.
How a fully online accounting firm works
We have no office for you to visit and nothing to drop off. Everything runs through your accounting software, a shared folder and your bookkeeper's WhatsApp.
Working online means we are not tied to one city, and you are not tied to office hours to get an answer. It also means the work is visible: you can open your books at any time and see exactly what has been done.
- Your bank feeds flow into your software automatically, so we see transactions without waiting for statements
- You photograph receipts or forward supplier bills by email as they arrive
- Your bookkeeper sends one list of questions a month instead of chasing you daily
- Reports, returns for approval and filing confirmations come to you in writing, so there is always a record
- When something needs a conversation, we book a video call at a time that suits you
What you get every month
| Deliverable | When | Why it matters |
|---|---|---|
| Reconciled bank, card and gateway accounts | Every month | Your books match the bank, so every report built on them is reliable |
| Profit and loss, balance sheet and cash summary | Every month, after review | You see profit and cash while you can still act on them |
| List of open questions | Every month | Unknown items are cleared while they are fresh, not at year-end |
| Tax returns prepared and filed | Each filing period | Filed from reviewed books, with the workings kept for any tax authority query |
| Deadline reminders | Ahead of each filing date | You know what is due and what we need from you |
| Year-end pack for your auditor | Once a year | Clean schedules and reconciliations make the audit faster |
Your data stays secure and stays yours
A lot of accounting risk comes from where the books live and who controls them. We set things up so that you are always in control.
- The books are in your own Zoho Books, Xero or QuickBooks subscription, owned by you
- Each person at BooksGem has their own named login, never a shared password
- You can see who has access and remove it yourself at any time
- Bank feeds are read-only: we can see transactions but cannot make payments
- Receipts and bills are attached to the transaction in your software, so the evidence stays with the record
- If you change accountant, nothing needs to be exported or handed back
Frequently asked questions
Which countries does BooksGem work in?
We work with businesses across the United Arab Emirates today, on the mainland and in free zones. Saudi Arabia and Qatar are next.
Do I need to visit your office?
No. We work fully online. You share documents securely, and we're on WhatsApp, email and video calls whenever you need us.
What do accounting and bookkeeping services include?
Bookkeeping is recording and reconciling every transaction each month. Accounting builds on it: monthly reports, tax returns and year-end accounts for your auditor. BooksGem handles both for a fixed monthly fee.
How do you charge?
A fixed monthly fee based on your transaction volume and services, agreed up front. No hourly billing.
Is online bookkeeping safe?
Your books live in your own Zoho Books, Xero or QuickBooks account, not on our computers. We are added as users with our own logins, so you can see who has access and remove it at any time. Bank feeds are read-only connections set up through the software, so we can see transactions but cannot move money. Documents are shared through the software or a shared folder you control.
What happens to my books if I stop working with BooksGem?
Nothing is lost. Because the books are in your own subscription, every transaction, report and attachment stays with you. You give 30 days' notice, we finish the work for the months already covered, hand over a short note on open items and filing dates, and you remove our user access. Your next accountant starts from where we left off.
How quickly will you reply to me?
Within one business day, usually much sooner during working hours. You message your named bookkeeper directly on WhatsApp or email, so questions don't sit in a general inbox. Anything with a tax deadline attached is flagged and handled first, and we tell you in advance when we need something from you before a filing date.
When will you work in Saudi Arabia and Qatar?
We are preparing both, but we only take on clients in the UAE today. Tax rules are different in each country (Saudi Arabia has Zakat and its own VAT and e-invoicing rules, for example), so we will open each one when its services and guides are ready. If you have a company there, message us and we will tell you when we start.
