Choosing bookkeeping software is one of the first financial decisions a UAE business makes — and one of the most annoying to undo. Switch later and you'll be migrating opening balances, customers and open invoices in the middle of a VAT quarter.
This guide compares the three cloud bookkeeping systems we see most often in UAE small businesses — Zoho Books, Xero and QuickBooks Online — and explains what actually matters when you choose.
What UAE businesses need from bookkeeping software
Generic "best software" lists are written for the US or UK. In the UAE, check these first:
- UAE VAT support. Tax rates for standard-rated, zero-rated, exempt and reverse-charge items, your TRN on invoices, and a VAT report that maps to the FTA's VAT return boxes.
- E-invoicing readiness. The UAE is introducing mandatory e-invoicing through Accredited Service Providers (ASPs). Your software needs a clear path to connect to one.
- Bank feeds. Automatic import of transactions from your UAE bank saves hours of data entry. Coverage varies by bank, so check yours.
- Multi-currency. Essential if you buy or sell in USD, EUR or other currencies.
- Inventory. Trading and e-commerce businesses need stock tracking, ideally in the same system.
- Payroll. UAE payroll needs WPS salary files and gratuity calculations — often handled by a separate payroll app.
- Your accountant. Software your bookkeeper knows well will cost you less to maintain.

Zoho Books
Zoho Books is one of the most widely used bookkeeping systems among UAE small businesses. It has a UAE edition with VAT built in, and it connects to the rest of the Zoho suite — CRM, inventory, expense and payroll — which is useful if you want one vendor for everything.

Xero
Xero is known for fast bank reconciliation and a huge marketplace of connected apps — Stripe, Shopify, expense tools, inventory systems and more. It's popular with startups and businesses that run on several online tools.

E-invoicing: the deadline to plan around
The UAE's Electronic Invoicing System changes how invoices are issued and received. Instead of emailing PDFs, businesses will exchange structured e-invoices through an Accredited Service Provider (ASP), with data shared with the FTA. The phased timeline published by the Ministry of Finance is:

Before choosing software, ask the vendor how it will connect to an ASP and whether that is included in your plan. Always check the latest dates with the Ministry of Finance or FTA.
What about free bookkeeping software?
Free or very cheap plans can work for a brand-new business with a few invoices a month. The limits usually bite quickly: caps on revenue or invoices, no bank feeds, or no VAT return report. Software doesn't do the bookkeeping for you
Automated bookkeeping features — bank rules, receipt scanning, auto-matching — save time, but they also repeat mistakes automatically. A wrong VAT code on a bank rule can be wrong on every transaction for a whole quarter. Whatever you choose, have someone review the books every month.
